What does the Add to Calendar feature do?
It connects your Google or Outlook calendar to ITILITE and automatically adds travel events for flights, hotels, and rental cars you book in ITILITE. If your trip changes or is canceled, the calendar event is updated too.
Which calendars are supported?
ITILITE supports Google Calendar and Microsoft Outlook Calendar. You can view these events in the calendar app you already use, including Google Calendar, Outlook, and Apple Calendar (when itโs connected to your Google or Outlook account).
When are events added or updated in my calendar?
Events are added when you make a booking in ITILITE, and updated or removed if that booking is changed or canceled. This happens in the background, so calendar issues wonโt interrupt your booking.
Where do I connect my calendar?
You can connect and manage calendar sync from the ITILITE web platform. After you connect, trips booked through ITILITEโwhether on web, mobile, via Automation, or Booked by agentโwill sync to your calendar once your trip details are updated in ITILITE.
How do I enable Add to Calendar?
Go to Your Profile in ITILITE โ Scroll to the bottom โ find the Calendar Sync section โ choose Connect Calendar
If I receive an email from the airline, will that add an event to my calendar too?
Yes. If your airline or email provider adds a trip to your calendar automatically, that event may show up in your calendar as well. ITILITE will still add its own travel event, so you might see two entries for the same trip.
Connecting and Disconnecting Your Calendar
How does ITILITE know which calendar to connect? What will I see?
Based on your work email, ITILITE will guide you to connect either Google Calendar or Outlook Calendar. If your calendar isnโt supported, youโll see a message letting you know which providers are currently available.
Will my past trips be added to my calendar after I connect?
No. Only trips booked after you connect your calendar will be added automatically.
What happens if I disconnect my calendar?
New bookings and updates will stop syncing to your calendar. Events that were already added to your calendar will stay there, and you can delete or edit them anytime.
What if my calendar connection stops working?
If ITILITE canโt reach your calendar for any reason, your booking will still go through. You may be asked to reconnect your calendar so syncing can continue.
Event Details and Behavior
What details are included in the calendar events?
ITILITE adds clear, travel-friendly events:
- Flights: โFlight from X to Y,โ flight times, departure airport, a reminder before departure, and booking details in the notes.
- Hotels: โStay at [Hotel Name],โ check-in/check-out dates, hotel address, and booking details in the notes.
- Rental cars: โRental Car Pickup in [City],โ pickup location and time, and booking details in the notes.
How are layovers and multi-stop flights shown?
Youโll see one flight event for the overall journey, with layover details included in the event notes.
What if I already have an event at the same time?
ITILITE will still add the travel event. If events overlap, both will appear. You can adjust or delete the calendar event without affecting your booking in ITILITE.
What if I delete the ITILITE event from my calendar?
If you delete the travel event, ITILITE wonโt add that same event again for that trip.
Can I edit the calendar events that ITILITE creates?
Yes, you can edit them in your calendar. If your booking changes later in ITILITE, the event may be updated to match the latest trip details.
Booking for Yourself and Others
What happens when I book a trip for myself?
If your calendar is connected, ITILITE adds separate events for your flight, hotel, and rental car (when booked) and keeps them updated if anything changes.
What happens when I book a trip for someone else?
If you book travel for another employee, the events are added to the travelerโs calendar (as long as the traveler has connected their calendar). Your own calendar isnโt updated automatically.
What if the traveler hasnโt connected their calendar?
Then ITILITE wonโt be able to add events to that travelerโs calendar.
Changes, Cancelations, and Issues
How do cancelations show up in my calendar?
When a booking is canceled in ITILITE, the related calendar event is removed or marked as canceled so your calendar stays accurate.
How do modifications work?
If your flight is rescheduled, hotel dates move, or car pickup details change, ITILITE updates the existing calendar event so you donโt end up with duplicates.
What if the calendar service is having problems?
Your booking will still be successful. If syncing canโt happen at that moment, you may be asked to reconnect your calendar later.
Time Zones, Permissions, and Security
How are time zones handled?
Events are shown in the correct local times for your trip, and they display properly on your calendar even when youโre traveling across time zones.
What access does ITILITE request, and what does ITILITE read from my calendar?
ITILITE requests only the access needed to connect your account and create/update ITILITE travel events (including access related to your user profile and calendar events). Specifically, ITILITE uses permissions equivalent to user read, events read, and events write.
ITILITE does not read your personal calendar events. It does not access or view private events, and it does not access public events that were not created by ITILITE. ITILITE only uses the connection to create, update, or delete the ITILITE travel events it adds to your calendar.
How is my calendar connection protected?
Your calendar connection details are stored in an encrypted format and are used only to keep ITILITE-created travel events up to date. ITILITE does not try to access anything beyond this and is not aware of other events on your calendar.
