Lodging expenses<\/h3>\n\n\n\n<p>These expenses include overnight stays in hotels, resorts, serviced apartments, inns, etc. The rates for lodging change based on the travel location.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">2. Meal expenses<\/h3>\n\n\n\n<p>These expenses include money spent on breakfast, lunch, and dinner. Incidental expenses<\/h3>\n\n\n\n<p>Incidental expenses are the extra money your employee may spend during the trip like laundry or dry cleaning services, tips given to porters, baggage carriers, hotel staff, etc.<\/p>\n\n\n\n<p>Generally, companies combine meals and incidental expenses (M&amp;IE) and reimburse them together. <\/p>\n\n\n\n<p>One expense that per diem DOES NOT cover is transportation or mileage. Companies can either arrange transportation for their employees or employees can spend out of their own pockets and get it reimbursed by filing an expense report.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-how-does-per-diem-work\">How Does Per Diem Work?<\/h2>\n\n\n\n<p>Since the daily allowance is fixed, using per diem makes the process of expense filing easier for employees as well. Each year, the General Service Administration (GSA) publishes a list of standard rates, effective October 1.&nbsp;<\/p>\n\n\n\n<p>To know it, <a href=\"https:\/\/www.gsa.gov\/travel\/plan-book\/per-diem-rates\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">visit the GSA site<\/a> and enter the city or zip code of the city your employee\/s would be visiting. The per diem rates would be broken down into 2 categories &#8211; lodging, and meal &amp; incidental expenses (M&amp;IE).&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-large\"><img decoding=\"async\" src=\"https:\/\/www.itilite.com\/wp-content\/uploads\/2021\/05\/PD-1-1024x583.png\" alt=\"how does per diem work \" class=\"wp-image-2922\" \/><figcaption class=\"wp-element-caption\">(Source: https:\/\/www.gsa.gov\/travel\/plan-book\/per-diem-rates)\n<\/figcaption><\/figure>\n\n\n\n<p>You can use the relevant per diem rate for each day your employee is out on a business trip. However, for the first and last day of travel, you only need to pay 75% of per diem rates for meals and incidental expenses. <\/p>\n\n\n\n<p>This is because it is considered that the first and last day won&#8217;t have the same level of M&amp;IEs. Refer to this table on the <a href=\"https:\/\/www.gsa.gov\/travel\/plan-book\/per-diem-rates\/mie-breakdown\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">M&amp;IE breakdown page<\/a> for \u201cFirst and Last Day of Travel\u201d expenses.&nbsp;&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-how-to-calculate-per-diem\">How to Calculate Per Diem?<\/h2>\n\n\n\n<p>Now, let\u2019s understand how you can calculate per diem for your company with the help of an example. Assume your employee is traveling to Seattle on a 5-day business trip in May.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">How is Per Diem Calculated<\/h3>\n\n\n\n<p>To calculate the total per diem:&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 1: <\/h3>\n\n\n\n<p>Visit the <a href=\"https:\/\/www.gsa.gov\/travel\/plan-book\/per-diem-rates\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">GSA site,<\/a> and enter Washington in the \u201cstate\u201d box. It will display lodging and M&amp;IE per diem rates for all cities in Washington.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 2: <\/h3>\n\n\n\n<p>Now, enter Seattle in the search bar on the right corner to know lodging per diem rates for each month. However, if you don&#8217;t wish to check every city separately for setting per diem rates for business travel, another alternative to calculating it is the high-low substantiation method.<\/p>\n\n\n\n<p>The <a href=\"https:\/\/www.irs.gov\/pub\/irs-pdf\/p535.pdf\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">IRS <\/a>releases new rates each year for the continental United States: one for high-cost areas and one for all other areas. For instance, 2020-2021 per diem rates are:<\/p>\n\n\n\n<figure class=\"wp-block-table is-style-stripes\"><table><tbody><tr><td><\/td><td><strong>High-Cost areas<\/strong><\/td><td><strong>All other areas<\/strong><\/td><\/tr><tr><td>Total per diem&nbsp;<\/td><td>$292<\/td><td>$198<\/td><\/tr><tr><td>Meals and incidentals only <\/td><td>$71<\/td><td>$60<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p>To find out which places are considered high-cost, you can check section 5 of this year\u2019s <a href=\"https:\/\/www.irs.gov\/pub\/irs-drop\/n-20-71.pdf\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">IRS bulletin<\/a>. You can use any of one the above-mentioned methods if your employees are traveling within the US.&nbsp;&nbsp;<\/p>\n\n\n\n<p>If your employees are traveling outside the US, international per diem rates are managed by the <a href=\"https:\/\/aoprals.state.gov\/web920\/per_diem.asp\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">US Department of States<\/a>. Visit the website to check the rates when your employees travel to different countries. <\/p>\n\n\n\n<p><strong>Note:<\/strong> International per diem rates are revised monthly. Hence, make sure you keep checking it regularly.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-what-if-you-don-t-want-to-go-by-the-federal-per-diem-rate\">What if you Don&#8217;t Want to Go by the Federal Per Diem Rate?<\/h2>\n\n\n\n<p>Like we said before, you can set your per diem rates if you don&#8217;t wish to compensate at the federal rate.&nbsp;The IRS offers two choices for this:<\/p>\n\n\n\n<ol>\n<li><strong>Take your total per diem amount, subtract the standard meals and incidentals rate, and treat the remainder as the lodging amount. <\/strong>For instance, if you wish to set your per diem at $200 and the standard M&amp;IE is $76, then your lodging amount would be $124.<br><\/li>\n\n\n\n<li><strong>Designate 60% for lodging and 40% for meals and incidentals in your total per diem amount. <\/strong>For instance, if your total per diem is $200, then $120 would be your lodging amount and $80 would be your M&amp;IE amount.<\/li>\n<\/ol>\n\n\n\n<p>Regardless of what method you choose to calculate per diems for your employees, it\u2019s important to be consistent.
